Web Summit 2025 Guide – Edition for Exhibitors

The Web Summit takes place from November 10th to 13th in Lisbon, bringing together over 70,000 participants from around the world to exchange ideas, form partnerships, and connect with the latest in tech innovation.

If your company will have a stand at the Web Summit, this guide offers practical tips for startups and businesses that want to stand out, build valuable relationships, and make the most of the experience.

1. How to choose your team for Web Summit

To ensure your company’s success at the event, assemble a team of at least 2–3 people who can support each other in challenging situations and meet the following criteria:

  • Deep knowledge of the product;
  • Strong communication and charisma (extroverts are ideal);
  • Ability to answer complex technical questions (a CTO or product manager are great choices);
  • Fluent English and storytelling skills, adaptable to different contexts;
  • A sales representative to follow up with leads after the event.

2. How to prepare a demo

Create a short, engaging, and informative demo. Bring at least two laptops to handle visitor flow efficiently.
Your demo should be flexible enough to adapt to different audience needs — and always have a Plan B for Wi-Fi issues.
Having a video presentation or an offline version of your product can be a practical backup in case of connectivity problems.

3. Digital information

Provide a QR Code that visitors can scan to access all key information about your company or project.
This not only streamlines interactions but also allows attendees to take your information home and review it later at their own pace.
Don’t forget to include your contact details clearly!

4. How to attract visitors to your stand

To stand out among thousands of exhibitors, consider the following:

  • Use a catchy and concise tagline on your booth display;
  • Always have 2–3 team members present to attract attention and engage passersby;
  • Display your merchandise prominently;
  • Don’t be afraid to stand out with bold clothing or colors;
  • Network with neighboring booths and exchange contacts for potential collaborations.

5. How to pitch at your stand

A well-prepared pitch is halfway to success.
Every team member should be able to answer key questions about your product, pricing, features, and benefits, and also be prepared to address questions about competitors or weaknesses.

Start by making a personal connection — ask visitors about their experience at the event, then adapt your pitch to their interests.
This approach makes the conversation more engaging and significantly increases your chances of success.
